Choose a facilitator and one topic
Ask one person to guide the conversation and keep it focused on a single service or responsibility the team relies on. That could be email, giving, the website, livestreaming, or a volunteer handoff.
Keep the discussion about shared practices and next steps. No one needs to bring passwords, account tokens, recovery codes, or other credentials into the conversation.
Describe what is clear and what has changed
Invite the team to describe how the chosen service supports ministry work, who is responsible for it, and what has changed since the last conversation. Note questions the team cannot yet answer without blaming the person who raised them.
- Who is responsible for the service or task today?
- Have people, responsibilities, or the way the service is used changed?
- What information should the team confirm with its designated owner or provider?
Choose one manageable follow-up
Pick one action the team can complete next. Give it to a named role or person, agree on a review date, and note any question that needs to go to the service provider or an organizational leader.
- Review who has access using the organization’s approved process.
- Confirm the service owner and an alternate contact.
- Ask the provider a question and record its response.
Revisit the decision together
